This policy explains what information Backlog LLC ("Backlog," "we," "us") collects through this website and how we use it. It applies to visitors of this site and to practice representatives who book a call or request a free review here.
This website is not for patient information
Backlog provides credentialing and billing services to behavioral health practices. In delivering those services to clients, we handle protected health information (PHI) under HIPAA — but never through this website. PHI is exchanged only through secured channels established with each client and is governed by a Business Associate Agreement (BAA) and our HIPAA policies, not by this policy. Please do not submit patient information — names, dates of birth, diagnoses, claim details — through any form or booking on this site. If patient information is submitted here despite this notice, we will delete it.
What we collect on this site
When you book a call or contact us, we collect what you enter: your name, practice name, email address, phone number, and any notes you add. We also receive standard technical information from your browser, such as IP address, device type, and pages viewed, through our website and scheduling provider.
How we use it
- To schedule and hold the call you booked, including sending the Google Meet invitation and any confirmation, reminder, reschedule, or cancellation notices by email.
- To prepare and deliver a free review you requested, using information your practice provides through the secured channels we set up for it.
- To respond to questions you send us.
- If your practice becomes a client, to set up the engagement under our services agreement and BAA.
- To operate and secure this website.
We do not sell personal information, and we do not use it for advertising. We contact you by phone and email; we do not operate a text-message program from this website.
Who we share it with
We use service providers to run this site and our scheduling: our website and CRM platform, Google (for calendar and Google Meet), and our email provider. They process this information only to provide those services to us. We may also disclose information if required by law or to protect our rights. Client PHI is shared only as permitted by the applicable BAA and HIPAA — never through the providers that run this website's booking and contact functions unless a BAA covers them.
How long we keep it
We keep booking and contact information for as long as we have an active relationship with you or a legitimate business reason to retain it, after which it is deleted or anonymized. Client records created in the course of services are retained as the services agreement, BAA, and applicable law require.
Your choices
You can ask us to access, correct, or delete the personal information this site collected about you by emailing [email protected]. Requests concerning patient records held for a client practice should be directed to that practice, which is the records' owner; we support clients in fulfilling those requests as their business associate.
Children
This site is for businesses and is not directed to anyone under 18. We do not knowingly collect information from minors through it.
Changes
If we change this policy, we will update the effective date above. Material changes will be posted on this page.
